5 questions to ask before signing a vending service agreement
Choosing a vending partner isn't just about equipment — it's a service relationship that affects employee satisfaction, tenant experience, and your building's day-to-day.
1. Who owns the machine — and who's responsible for repairs?
A legitimate vending agreement gives the vending company both ownership and full maintenance responsibility. Some contracts quietly shift repair costs back onto the location owner — make sure the agreement explicitly says the provider owns the equipment and covers every repair.
2. What payment types does the machine accept?
A cash-only machine limits sales and frustrates people in 2026. Confirm the machine takes credit and debit cards, mobile wallets like Apple Pay and Google Pay, and cash as a backup — cashless-enabled machines consistently see higher transaction volume.
3. How quickly are service issues resolved?
An out-of-order machine reflects on your building, not the vendor. Ask about average response time for equipment failures, whether it's a local technician or a third-party contractor, and how to submit a service request. Our standard is on-site within 24 hours.
4. Can products be customized for your location?
A gym needs protein and sports drinks. A school needs healthier options. A warehouse needs high-calorie, high-energy items. Confirm the vendor will actually tailor the product mix — and keep adjusting it based on what sells.
5. Are there hidden fees or lock-in terms?
Read for early termination penalties, electricity charges, custom product fees, and auto-renewal clauses. A reputable vending company is transparent about all of it up front.
Bonus: ask for references
Any established operator should hand over current customer references without hesitation.
Common questions.
Are vending service agreements typically long-term?
It varies by provider — some require multi-year commitments, others (like ours) keep it flexible.
Can I negotiate the terms of a vending service agreement?
Yes, especially for a high-traffic location — that gives you real negotiating leverage.
What should I do if I'm unhappy with vending service after signing?
Document the issue in writing and raise it directly — a reputable company will address it, not stonewall you.
Is it normal to have multiple vending machines under one agreement?
Very common — agreements often cover multiple machines across one property or several.
Does Southeast Vending charge any fees to the location owner?
No. Our model is zero-cost to the location, full stop — no installation fee, no monthly fee, no hidden electricity surcharge.
What's a red flag in a vending service agreement?
Vague language around who pays for repairs, or a long auto-renewal clause with no easy exit — both are worth pushing back on before you sign.
